Accounting & Human Resource Specialist

Location: In office – or remote if internet access and located in Alaska

Employment Status: Full-Time – Non-Exempt Position – Range 14

Hours: Monday – Friday – 37.5 hours per week

Supervision: Directly responsible to the Administrative Director

Responsibilities

Provide accounting services:
• Perform monthly accounting duties that include, but not limited to, accounts payable, accounts receivable, processing bank deposits, and ensuring accurate coding and classification in the accounting system. This includes but is not limited to:

  • Monitor billing@andvsa.org email.
  • Input, code and scan all bills/invoices/travel packets and backup into QuickBooks.
  • Scan and input all W-9’s and contracts to vendor files in QuickBooks.
  • Prepare invoices and oversee collection of member dues from Member Programs.
  • Prepare On-line Payment Requests and process on-line payments to vendors.
  • Input bills and process payments.
  • Record incoming receipts and prepare bank deposits.
  • Reconcile Credit Card Statements.
  • Process Travel Authorization and Reconciliations.
  • Process Custodial Account payments (Insurance, Retirement, 457(b)).
  • Identify and record direct deposits into QuickBooks from State and federal system.

•Assist with annual audit preparation.
• Assist with annual company insurance renewals.
• Assist with annual Form 1099Misc/1099NEC/ and Form 5500 (Retirement).
• Other accountings related tasks as assigned.

Provide Human Resources services:

•Prepare monthly staff timesheets.
• Assist Finance Administrator with payroll preparation as needed.
• Update and monitor the ANDVSA website for internal job postings.
• Assist Administrative Director with posting of open positions.
• Assist Administrative Director with preparation of new hire paperwork.
• Assist Administrative Director with new-hire orientation.
• Assist Administrative Director with upkeep of Employee Handbook.
• Assist Administrative Director with insurance enrollment.
• Other human resource related tasks as assigned.

Qualifications

Minimum Qualifications

• 2 years’ experience in bookkeeping.
• Working knowledge of Bookkeeping, Accounts Payable and Receivable, Invoicing.
• Proficiency with Word, Excel, Outlook, Adobe and PowerPoint.
• Strong communication skills – oral and written.
• Excellent Attention to Detail.
• Exceptional organizational skills and ability to manage multiple projects simultaneously.
• Ability to pass state and federal background checks.

Preferred Qualifications

• 3 years’ experience with bookkeeping
• 1-year prior experience in a non-profit fund accounting setting
• 1-year prior experience with QuickBooks
